Assistant, CEO Office

We Mean Business Coalition (WMB) is a global coalition of non-profit organizations, working with the world’s most influential businesses to take action on climate change. We are working to transform the world economy so that it is on track to limit global heating to 1.5°C in ways that deliver sustainable economic growth and shared prosperity. Through unprecedented collaboration, we catalyze business action and drive ambitious policy to halve emissions by 2030 and accelerate an inclusive transition to a net-zero economy by 2050, at the latest.
To support our work, we are seeking a talented Assistant to join our CEO office and to work directly for our CEO to ensure strong follow-up and agenda management.
Responsibilities
Agenda management
- Manage agenda per CEO/MT needs
- Set-up and follow-up meetings
- Prepare weekly/monthly schedule for CEO and MT
Travels and expenses management
- Book travels and flight for CEO and when required
- Book meeting rooms, prepare agenda with Associates in the organization and manage unexpected delay
- Review and submit CEO expenses in the expenses tool
Knowledge Management
- Making sure minutes of meetings are saved and accessible on SharePoint
- Supporting the development of a streamlined document library structure so that files are appropriately stored internally
Experience
- Recent graduates with two to three years of experience in a professional office environment
- Self-starter with a strong interest in administration management
- Excellent writing and communication skills, as well a keen attention to detail and the ability to handle multiple tasks under short deadlines
Skills
- Ability to coordinate multiple deliverables and stakeholders, and to work in fast-paced, changing environments
- Excellent English communication skills, including strong writing and editing skills. Proficiency in other languages is a plus
- Ability to conduct thoughtful research and analysis, and strong attention to detail
- Proven ability to work collaboratively and enjoy building relationships and networks across organizations and cultures, with diverse groups and individuals
- Proficiency in Microsoft Office applications especially Outlook and SharePoint
